As companies move more towards automation by introducing machinery and using technological advancements, productivity solutions provider PRP Solutions says it is also imperative to automate businesses around people.
“Among many other issues that lead to a lack of production are a company’s employees and how they contribute to the success, or lack thereof, of the business as a whole. As a result, we have identified key ‘pain points’ of people management in a business setting,” says PRP Solutions sales and marketing director Paul Schonborn.
PRP Solutions executive director and cofounder Mark Robson adds that the company has identified six such points that companies need to address to ensure productivity.
“The first key pain point that companies struggle with is their ability to control productivity. Secondly, they also struggle with controlling actual labour costs, which exceed budgeted labour costs. Thirdly, companies have high back-office costs, owing to labour-intensive methods of capturing payroll and financial data, errors and queries,” he explains.
Robson further highlights the overstaffing and understaffing of teams in the workplace, noncompliance with employment contracts, company human resources policies and labour regulations, and dealing with risk management and mitigation as the other key challenges related to managing people.
To resolve these issues, PRP Solutions says it uses cloud-based technology, a real-time management enabler system, time and attendance integration into a payroll system and biometric technology.
“Our cloud-based technology provides a fast return on investment, as it enables managers to work wherever Internet connectivity is available, which allows for the remote management of employees without having to physically be on site.
“The cloud-based technology ensures that productivity is not lost owing to server downtime or power outages. Using the technology also results in reduced capital costs, as no investment is required for information technology back- office or site infrastructure. The technology further ensures reduced maintenance, electricity and licensing fees, and there are no additional costs for product upgrades,” Schonborn points out.
Meanwhile, Robson mentions that the real-time management enabler provides the relevant reports in real time, enabling managers to take the required corrective actions timeously. Also, as the number of employees increases, so does the challenge for businesses to improve their productivity. Therefore, a real-time system needs to be in place to enable managers to manage people effectively.
The ability of PRP Solutions’ technology to integrate time and attendance payroll allows for reporting on payroll costs, including overtime and allowance, at any time during the payroll, states Schonborn. The system also forecasts payroll costs based on the operational plan in the system.
“A multistage approval workflow is provided to enable the designated managers to approve and authorise the payroll at the end of the payroll period. Once the final authorisation is done, the final data is uploaded onto the system without the need for any manual recapturing of the payroll or leave data. Based on this data, the existing payroll system then calculates the tax and generates the employee payslips,” Robson says.
The biometric technology clocking device that PRP Solutions provides assists companies in timekeeping, as it is designed to operate in harsh industrial and office environments using the GSM network to transfer transactions with 100% reliability.
“The device can be installed within minutes and only requires an electrical power point, which means that employees can be enrolled on site with the same clocking device,” states Robson.
Schonborn concludes that, if companies consider automating their business around these types of solutions, they are guaranteed to see an increase in productivity.
